Construction Project Assistant

IMPACT Strategies, a premier commercial builder in the St. Louis metropolitan area, is seeking outstanding candidates to join our team in the role of Construction Project Assistant. This role is responsible for coordination of all project documents as well as supporting the assigned project teams. The Project Assistant plays a pivotal role in the communication between the office and the field and must be flexible, detail-orientated, able to multi-task, and excel at communication and organization. To be successful in this role, a candidate must be able to work independently, prioritize competing demands, and be able to adapt to changes easily. Attention to detail and follow-thru are some of the most important qualities of a successful candidate.

Position Description & Primary Responsibilities:

  • Complete daily project-specific tasks
  • Provide administrative support to project teams (office & field)
  • Process subcontracts, letters of intent, and labor agreements for all subcontractors
  • Manage project drawings, submittals, RFI’s, field reports, progress photos, & correspondence
  • Update job lists, track subcontract documents, order jobsite signage, and distribute weekly updates
  • Maintain project notebooks
  • Attend job site meetings, take/distribute minutes, and observe job site
  • Attend meetings virtually as needed to take minutes
  • Coordinate utilities, warranty callbacks, and closeout documentation
  • Wide format printing, scanning, document records
  • Manage projects on multiple online platforms
  • Complete paperwork for local and state compliance
  • Manage progress photos and daily reports
  • Assist with front desk coverage and general office assistance as needed
  • Other duties as assigned

Fairview Heights, IL

  • High School diploma + 60 college credit hours required
  • 2-5 years of administrative experience
  • Strong computer skills; proficient in Microsoft Office Suite (Word, Excel, OneNote) and Adobe Acrobat
  • Excellent organizational skills with exceptional attention to detail & ability to switch gears easily
  • Above-average communication skills (written and verbal)
  • Ability to handle confidential/proprietary information
